Physical Coaching Academy takes your privacy very seriously.
However, in order to allow you to access our services, we need certain data.
This general confidentiality statement enables you to understand how we process your information and for which purposes we use it.
Current statement relates to the processing of personal data by the data controller that we embody, i.e., the BV/SRL PHYSICAL COACHING ACADEMY, headquartered at 1180 Brussels, Zonnebloemlaan 26, registered at K.B.O. under n° BE 0553.923.943, hereinafter: “PCA”.
This statement contains your rights and obligations towards PCA and may be modified or updated.
1. Which personal data?
1.1. Personal data that you provide us with
- Category 1: no storage – your IP address.
- Category 2: when registering on our website to create an account – your password, surname, first name, gender, email address, date of birth, and telephone number.
- Category 3: your postal address for all communication related to your registration, your payment and billing information when you register for one of our courses.
- Category 4: when you subscribe to our Newsletter – your name, first name, email address, and telephone number.
- Category 5: photos in which you appear and for which you explicitly authorize us to publish on our website or social media pages (Facebook, Instagram) to promote our activities.
1.2. Time at which the personal data are collected
PCA may collect your personal data in connection with your registration and when using our website.
2. Purposes of the processing of data
PCA will only handle your personal data for the following purposes:
- To execute the agreement that you have entered into with PCA, following your registration or use of one of its services or functionalities;
- To manage your account on the PCA website, on the legal basis of the agreement you have subscribed to, and, if you have given permission, to send direct marketing, based on your explicit prior consent;
- To ensure PCA’s services for ordered services, payments, and invoicing of those services, legally based on the requested service;
- To send you direct marketing content, newsletters, actions, and promotions relating to PCA’s activities or its partners’, legally based on your express and prior permission;
- To send you commercial or advertising communications, based on your prior consent, via email, fax, SMS, MMS, WhatsApp, social media, or any other electronic or physical means of communication concerning PCA’s services or events it organizes;
- To answer your questions regarding the nature and quality of the services offered by PCA, and, if desired, to send personalized communications.
3. Legal basis of the processing
The legal basis for the processing of personal data by PCA is, in accordance with Article 2, the explicit consent given for processing, the provision of a requested service, or legitimate interests invoked by PCA such as the existence of an agreement concluded with PCA.
4. Direct marketing
Personal data will also be used by PCA for direct marketing purposes if you have accepted this by endorsing the current general confidentiality statement.
If you are included in the list of recipients of PCA’s electronic marketing communications, PCA will be entitled to use your data for direct marketing regarding PCA’s activities and services.
You may withdraw your consent at any time, without giving any reason, by clicking the unsubscribe link provided at the bottom of each promotional email.

5. Transfer to third parties
PCA will never transfer your personal data to its partners or to third parties without your consent.
6. Criteria for storing your data
Your personal data will be retained by PCA as long as there is mutual interest in maintaining the purpose of data retention in relation to the contractual relationship between the parties.
Once this interest disappears, your personal data will be removed by means of appropriate security measures ensuring their anonymization or complete destruction.
7. Access by employees and partners
PCA guarantees that the principles of this general confidentiality statement will be respected by its employees and partners who may have access to your personal data.
8. What are your rights?
8.1. Right of access and rectification
You have the right to consult your personal data at any time and verify how PCA uses them.
You also have the right to request PCA to modify, supplement, or delete your personal data.
You may also ask PCA to restrict the processing of these data.
However, in case of deletion or limitation of your personal data, you accept that certain services may no longer be offered by PCA.
8.2. Right to object
You always have the right to object to the processing of your personal data on serious and legitimate grounds.
Regarding the use of your personal data for direct marketing and profiling, you may object without giving any reason.
8.3. Right to data portability
You have the right to receive your personal data, upon request, in a structured, commonly used, and machine-readable format, and to request that the data be transmitted directly to another data controller.
8.4. Right to erasure
You have the right to ask PCA to delete your personal data when certain data are no longer necessary for the purposes for which they were collected or when you wish to withdraw your consent.
PCA, however, is exempt from this obligation if processing is necessary for the establishment, exercise, or defense of legal claims.
9. Communication via the WhatsApp Application
As part of managing its relationships with prospects, clients, and partners, Physical Coaching Academy may use the WhatsApp application as a communication channel.
Purpose and Legal Basis of Processing
The collected phone numbers are used to enable Physical Coaching Academy to:
- Respond to requests for information or contact;
- Ensure administrative or commercial follow-up of a service;
- Provide information about its services, offers, or events.
The processing is based on the explicit consent of the data subject, in accordance with Article 6(1)(a) of the GDPR.
Consent Procedures
The data subject expressly acknowledges and agrees to be contacted by Physical Coaching Academy via WhatsApp, in accordance with the purposes described above.
Consent may be withdrawn at any time, without justification, by sending:
- A “STOP” message via WhatsApp, or
- A written request to info@physicalcoaching.com.
Data Transfer and Security
The use of WhatsApp involves the transmission of certain data to the servers of Meta Platforms Inc., located outside the European Union.
These transfers are governed by the Standard Contractual Clauses adopted by the European Commission to ensure an adequate level of protection.
Physical Coaching Academy draws users’ attention to the fact that Meta may collect certain metadata (technical information, phone number, etc.) in accordance with its own privacy policy.
Rights of Data Subjects
In accordance with the General Data Protection Regulation (GDPR), every individual has the right to:
- Access their personal data;
- Request rectification in case of error or modification;
- Request deletion (“right to be forgotten”);
- Request restriction or object to processing;
- Exercise the right to data portability.

A response will be provided within a maximum of 30 days.
Data Retention Period
Data are retained for the period necessary for the commercial relationship or until consent is withdrawn, after which they are deleted or anonymized.
